Every Expiry Privacy Policy

Overview

Every Expiry helps individuals and households track expiration and renewal timelines for identity and travel documents. This policy explains what information we process, what we keep, how we use it, and the controls available to you. Every Expiry is operated by Allevate.

Information we process

We process the account name, email address, provider identifier, sign-in provider, and profile photo URL made available by Apple or Google. When you choose a document, its contents are sent securely for one-time text and renewal-metadata analysis. You review and edit every extracted field before saving.

Metadata we keep

We keep the account details described above, your privacy-consent version and date, household labels, document name and category, issuer, expiration and reminder dates, renewal status, notification preferences, email-reminder preferences, and a one-way duplicate-detection fingerprint derived from the holder’s last name and expiration date.

Document files are not retained

The source image or PDF is used only to provide the analysis you requested and is discarded after analysis. Every Expiry does not save document images, document numbers, birth dates, photographs, signatures, or addresses. Do not upload a document unless you are authorized to use it.

How we use information

We use account and renewal metadata to authenticate you, organize documents by household member, show renewal timelines, detect likely duplicate uploads, schedule in-app and device notifications, support replacement-document workflows, and—only when you opt in—send renewal reminder emails. We do not sell personal information, show advertising, or track you across other companies’ apps or websites.

AI analysis and service providers

Every Expiry uses Apple platform services, Google Firebase for authentication and protected app services, Google Gemini through Firebase AI for one-time document analysis, and email-delivery infrastructure for optional reminder emails. These providers process information only to deliver the requested app functionality under their applicable terms. AI results can be incomplete or incorrect, so you must confirm the metadata before saving.

Permissions and notifications

Camera access is used only when you choose to scan or photograph a document. Photo Library and Files access are used only for items you select. Device notifications are used only after you grant iOS permission. Email reminders are sent only after you enable them in the app, and you can disable them at any time.

Consent

Before signing in or starting a guest preview, Every Expiry asks you to agree to this Privacy Policy and consent to one-time document analysis and storage of the renewal metadata you approve. For signed-in accounts, we record the policy version and acceptance time with the account. For guests, the consent record remains on the device. You may withdraw consent by deleting your account or clearing the guest app data.

Guest preview

You may track up to two documents without an account. Guest renewal metadata, household labels, notification preferences, and the consent record stay on that device. Guest mode does not include email reminders, cloud recovery, or cross-device access. If you later sign in, the app moves eligible guest renewal metadata into your account and clears the guest copy. Deleting or offloading the app may remove guest data.

Retention, control, and deletion

Renewal metadata is kept while your account or the related record remains active. You can edit or delete individual records, clear all document metadata, manage household labels, disable notifications or email reminders, delete all app data, or permanently delete your account from Profile → Settings. Account deletion removes the account profile and associated cloud reminder metadata. Some limited operational records may be retained when required for security, fraud prevention, legal compliance, or service integrity.

Sharing and disclosure

We share information with the service providers described above only as needed to operate Every Expiry. We may also disclose information when required by law, to protect users or the service, or as part of a business transfer subject to appropriate safeguards. We do not sell your personal information.

Children

Every Expiry is not directed to children under 13. A household account holder should add or manage a child’s renewal metadata only when legally authorized to do so.

Changes to this policy

We may update this policy as the service changes. The effective date above identifies the current version. If a material change requires renewed consent, the app will ask you to review and accept the updated policy.
